Hours of Work – Sample Policy
Hours of work principle is the foundation of major compensation and benefits program. However, this can lead to abuse if no control mechanism is in place.
Thus, putting up the hours of work policy is critical. The sample policy here is based on the book How To Design and Formulate Company Code of Discipline (pp. 38-40) by Atty. Villanueva.
Sample Policy Correlating Hours of Work with Discipline: HOURS OF WORK POLICY
Employees shall report to work on or before the designated shift. The company’s normal hours of work is eight (8) hours per work day or from 8:00 o’ clock in the morning until 5:00 o’ clock in the afternoon, Monday to Saturday or a total of 48 hours per week.
Certain employees may be assigned to another work schedule or shift which will still be governed by the rule on tardiness and undertime. Grace Period This is the time granted by the employer within which the employee can come to work beyond the shift and yet will not be considered tardy.
Clock in after the start of the shift shall be considered as tardy. However, a grace of period ten (10) minutes shall be given to employees in each shift. Employees who come in late beyond the grace period shall suffer corresponding deduction from salary which includes the grace period.
Likewise disciplinary sanction may be imposed for such violation. Shift Employee’s shift is the normal hours of work of eight (8) hours. Employee is required to report on or before the start of the shift and prohibited from leaving before it ends.
Otherwise, the employee shall be liable for undertime for which he will suffer salary deduction or non-payment of salary and disciplinary action.
Overtime (OT) Work Overtime work requires prior written authorization from the company. In the absence of authorization, overtime work shall not be paid. Employees violating this policy shall be liable for loitering.
Employees should report for authorized overtime work on time. Lunch Break It shall be the duty of every employer to give his employees not less than sixty (60) minutes time-off for their regular meals. Employees shall report for work after one-hour lunch or meal break.
Clock in after 1:05 o’ clock in the afternoon for the 8-5 shift shall be considered as tardy and the employee shall suffer the corresponding salary deduction and disciplinary sanction. For employees assigned to other shift, clock in after five (5) minutes following the one-hour meal break shall be considered as tardy and the employee shall suffer the corresponding salary deduction and disciplinary sanction.
Coffee Break Rest periods or coffee breaks running from five (5) to twenty (20) minutes shall be considered as compensable working time. The company implements a fifteen (15)-minute coffee break in morning at 10:00-10:15 ‘o clock in the morning and 3:00-3:15 o’ clock in the afternoon. Employees shall report for work immediately after the end of such break.
Any clock in after 10:05 in the morning or 3:05 in the afternoon shall be considered as tardy and the employee shall suffer the corresponding salary deduction and disciplinary sanction. Deemed half-day or whole day absence Employees who report for work one hour after the start of the shift, including the grace period, shall be considered to be reporting on half-day and shall be paid correspondingly.
Clock in after 1:00 o’ clock in the afternoon shall be considered absence for the whole day and the employee shall not be paid or shall suffer corresponding salary deduction.
